Executive Assistant 1 - RPS 205

    Rockford Public Schools offer a rich and varied curriculum to its 28,000 students. It is one of the largest school districts in Illinois and the second-largest employer in the Rockford region. The district focuses on Readiness Rocks, five initiatives aimed at improving student achievement, making best use of resources and making RPS 205 a desirable and successful school district. Those initiatives are: College and Career Readiness, Seven Periods to Success, 21st Century Learning Environments, Preschool for All and College for All.

    In addition to zone-based schools, there are also specialized schools, including Montessori, Dual Language, Gifted and Creative and Performing Arts, and a year-round program.

    Essential Responsibilities:

    • Prepare a variety of correspondence, memorandums, minutes, reports, and other material often of a technical and/or confidential nature.
    • Ability to compose correspondence from rough drafts or dictating machines, as well as create presentation packages.
    • Demonstrates a high degree of organizational skills.
    • Ability to produce multi-page reports.
    • Prepare forms, charts, tables, and spreadsheet reports as required.
    • Prepare purchase requisitions and conduct inventories as needed.
    • Prepare payroll attendance sheets for signature and approval.
    • Review documents/reports for accuracy.
    • Maintain confidentiality.

    General Duties:

    • Utilize professional judgment to screen calls and visitors.
    • Organizes the office for efficiency.
    • Prepares quarterly reports, board presentations, cabinet presentations, and other reports requiring technology use.
    • Attends various meetings to take minutes as requested.
    • Schedules appointments and organizes meetings for administrators.
    • Create flyers, district wide announcements, and inter-office memorandums.
    • Process office mail including screening mail and routing to proper sources.
    • Makes travel arrangements for administrators
    • Process requests for reimbursement.
    • Ability to utilize the district’s purchase requisition process
    • Carries out such additional duties as required or as conditions necessitate.

    Public Relations:

    • Greets, assists and screens visitors, parents, and students.
    • Receives and relays telephone messages for supervisor; screens incoming calls.
    • Set up meeting appointments for administrators.
    • Screen calls from the public and is discreet on information given.
    • Reviews and dispatches emergency calls and messages as necessary.
    • Applies information or explains interpretation concerning departmental or district policies, rules and regulations.

    Bookkeeping/Financial:

    • Maintains various ledgers on financial transactions of department.
    • Monitors the department budget.
    • Maintains accurate records of finances as required.
    • Prepares required district level and state reports.

    Budget and Inventory:

    • Maintains inventories and ascertains needs for supplies and equipment.
    • Prepares and assists preparation of various departmental or division budgets.
    • Processes requisitions and purchase orders

    Education: High School Diploma Required. Associates Degree or higher preferred.

    Salary: $33,333-$46,667
